An RSVP system works when the response list can become the meal count, seating list, and welcome list without retyping information. Choose mail, online responses, or both based on what your guests can use reliably.

Set the deadline from your real final-count date

Ask the venue or caterer when they need the final count. Set your guest deadline early enough to review replies, follow up, and make changes before that date. This is an editorial planning suggestion; the agreement’s deadline controls.

Track only useful fields

For each invited person, record the exact invited names, response status, number attending, meal choice if applicable, dietary note, address, and any accessibility or transport note they choose to share. Keep this list private and give access only to people who need it.

Make the response simple

Use one clearly marked deadline, one response link or card, and one contact for questions. State what each person is responding for, especially when an invitation includes a named guest or child.

Follow up without guessing

After the deadline, contact non-responders directly: “We are finalizing our count. Can you let us know by [date] whether [names] can join us?” Avoid changing an invitation or adding an uninvited guest through a casual message.

Close the list

When the final count goes to the vendor, freeze a dated copy of the list. Put later changes in a separate log with the person who approved them and any resulting vendor instruction.
