Wedding Planner vs. Coordinator: Compare the Scope
Titles vary by provider, so choose by written scope rather than assuming “planner,” “month-of,” or “day-of” means the same thing everywhere. Start with the work you still need done and the person who will make decisions when you are unavailable.
Separate planning from coordination
| Need | Planning scope may include | Coordination scope may include |
|---|---|---|
| Before booking | budget, venue, vendor search, design decisions | review of the plan already made |
| Before the wedding | ongoing decisions and vendor communication | timeline, final confirmations, rehearsal or walkthrough |
| On the day | depends on the agreement | vendor handoffs, schedule management, setup oversight |
A coordination package may begin well before the wedding even if it is called “day-of.” Read the stated meetings, planning window, staff count, event hours, setup/teardown, rehearsal, and vendor-contact duties.
Decide what you want to delegate
If you need help choosing vendors, managing budget choices, and turning a concept into a plan, seek a scope that states those tasks. If you have already made most choices and need someone to execute a final schedule and vendor handoff, compare coordination scopes. Either way, name which decisions the provider can make without calling you.
Local published scope examples
Kansas Event Planning publishes separate day-of coordination and full-service offerings. Blush Events separately lists month-of coordination, partial planning, and full planning with different meeting, vendor, design, rehearsal, and event-day scope. These examples show why a written comparison matters; availability and exact terms must be confirmed with the provider.
Before signing
Ask who is present on the wedding day, how the team handles a vendor delay, what document they need from you, and which items fall outside the package. Put the answers beside the contract before making the final choice.
