A guest list is a set of choices about capacity, budget, and relationships. No etiquette formula removes those choices. Agree on a rule early, apply it consistently where you can, and communicate the final invitation clearly.

Start with a capacity worksheet

Write the comfortable guest limit, the cost implication of each additional guest if known, and any venue minimums or accessibility needs. Then make one list with these columns: name, household, relationship, invitation decision, plus-one decision, meal needs, and response.

Use invitation groups

Try groups that match the way you make decisions: immediate family, close friends, wedding party, colleagues, family friends, and optional invitations. A group is a planning device, not a judgment about anyone’s value. It makes it easier to see what must change if the count changes.

Decide how families participate

If parents or other relatives are contributing money or expecting input, discuss the guest-count allocation before invitations are drafted. Write down the shared limit and who makes the final call when names exceed it.

Keep the invitation exact

Address the invitation to the people invited. Do not rely on a verbal explanation of who may attend. If children, partners, or plus-ones are included, record them in the response system so the final count matches the envelope.

If you need to reduce the list

Return to the agreed rule: capacity, budget, and the type of gathering you want. Avoid telling people they were “cut.” A simple response such as “we are keeping the gathering very small” is usually enough, and you do not need to defend a private planning decision.
