A rehearsal dinner can be a full meal, a casual gathering, or a short welcome event. Choose the format after the ceremony rehearsal is scheduled and before invitations create expectations. There is no required host, guest list, or menu; make those decisions with the people funding and planning the event.
Start with the rehearsal
Confirm the ceremony rehearsal’s date, location, arrival time, expected duration, and required participants. Then choose a dinner start time that leaves realistic travel and transition time. Ask the restaurant or venue about the group’s seating, food service, accessibility, deposit, minimums if any, and cancellation terms before inviting guests.
Build a guest list with a purpose
Many couples invite the wedding party, immediate family, and people needed at the rehearsal. Some include all traveling guests in a separate welcome gathering. State the invitation clearly so guests know whether the event follows the rehearsal or is a different occasion.
Give the host a short run-of-show
Record arrival, welcome, meal service, toasts if any, payment contact, and a firm end time. Keep the sequence short enough that people who have wedding-day duties can leave rested.
Final confirmation
Send the restaurant the count and dietary notes on its stated deadline. Give one person the reservation details and payment plan, and keep a copy of the agreement with the wedding records.
