Wedding Venue Questions to Ask Before You Book

Bring this list to a venue walkthrough and ask for the answers that affect your actual plan in writing. A capacity number alone does not tell you how many people fit after a ceremony layout, dinner service, dance floor, bar, and accessibility routes are in the room.

Space and time

  • What guest count fits the specific layout we want, and is that seated capacity, standing capacity, or both?
  • Which rooms and outdoor areas are ours, and what is the backup location for the ceremony or reception?
  • What are the access, setup, event, music, cleanup, and final-exit times?
  • Who moves furniture, resets rooms, handles trash, and locks up?
  • Are there accessibility features or site conditions our guests should know about?

Price and contract

  • What does the quoted rental include: tables, chairs, linens, lighting, sound, getting-ready space, parking, and staffing?
  • Which charges are separate, including service fees, tax, security, cleaning, overtime, damage deposits, or ceremony-site use?
  • What payment, cancellation, postponement, weather, and damage terms apply?
  • When is the final headcount or layout due, and can the venue change the assigned room or hours?

Vendors, food, and alcohol

  • Are catering, bar, DJ, coordinator, or rental vendors restricted, preferred, or fully open?
  • Is there a kitchen, prep area, refrigeration, power, and water that caterers may use?
  • Who may provide and serve alcohol, and what permit, insurance, security, or bar-staff requirements apply?
  • Are open flame, confetti, sparklers, drones, amplified music, or outdoor tents allowed?

Confirm before signing

Request the sample layout, itemized quote, rules, and contract together. Read them against the vendor plan you expect to use. If a point matters to your day—an hour of access, a rain location, a bar rule, or a cleanup duty—ask for the written document that governs it rather than relying on a tour conversation.
