Kansas Wedding Welcome Bags: Make a Useful Guest Kit

By WeddingInKansas Team

A welcome bag is optional. It works best when it solves an arrival problem: guests can find the schedule, hotel contact, transport plan, and a small refreshment without sorting through multiple messages. Choose contents that are easy to carry, store, and distribute.

Start with the paper insert

Include the wedding schedule, venue addresses, hotel or meeting point, transport instructions, a day-of contact, and a link or QR code to your wedding website. If the event spans several Kansas locations, write the city and full address for every stop.

Add only useful items

A small snack, water, local map or guide, weather note, and simple comfort item can be enough. If you include food, list common ingredients when practical and avoid promising that it meets a guest’s dietary needs. Do not give alcohol to a guest as an assumed welcome-bag item; follow the venue and host plan instead.

Assemble from the guest list

Make one bag per booked room or household unless you have a reason to do otherwise. Label bags with the guest name, hotel pickup instructions, and the person who can answer a missing-bag question. Keep a short inventory so late arrivals can be handled without guessing.

Deliver deliberately

Confirm the hotel’s policy before asking staff to accept, store, or hand out bags. If that is not available, choose a staffed welcome table or give bags at the first event. A delivery plan matters more than elaborate packaging.
