A real backup plan names a place, people, timing, and equipment. Start with a substantial building that fits guests, vendors, restrooms, and accessible routes. NWS lightning safety says tents, shelters, and trees are not safe lightning shelter; do not present a tent as the emergency alternative.

Use this checklist

  1. Map the indoor layout for ceremony, food, sound, and mobility access.
  2. Set decision times for forecast review, guest notification, and vendor setup.
  3. Assign one person to make the call and one to contact each vendor and guest group.
  4. Confirm what chairs, lighting, power, heating/cooling, and labor move with the event.
  5. Put postponement, cancellation, and weather fees in each contract.

Use the venue’s local NWS forecast and alerts in the days before the event. For heat, plan cooling and hydration using NWS heat safety; for lightning, move guests when thunder is heard. A venue’s availability, insurance, and specific move procedures must come from its current contract.
