How to Choose a Kansas Wedding Caterer

Choose a caterer after deciding what job the food must do. A cocktail-hour spread, a staffed buffet, a plated dinner, and dessert can have very different labor and equipment needs even when each is described with a per-person number.

Start with your venue and service plan

Ask the venue which caterers may work there, what kitchen or prep space is available, who supplies tables and power, and what the service and cleanup window is. Then give every caterer the same brief: guest count, meal time, service style, dietary requests, bar plan, venue, and whether food is appetizers, dinner, dessert, or late-night food.

A La Cart Charcuterie Co. illustrates why format matters. The Lawrence company lists grazing tables from $18 per guest, boards at $16 per guest, cups from $12 each, and an attended cart at $175 per hour plus $12 per guest with a two-hour minimum. It describes its grazing tables as styled on site for weddings and larger celebrations. Those offerings may suit cocktail hour, but the provider’s page does not say they replace a full dinner; ask the caterer to define the meal role and portions.

Compare complete proposals

Request a written proposal that names the menu, portion assumptions, guest minimum, service staff, rentals, delivery, setup, breakdown, tax, service charge or gratuity, and payment schedule. Ask what happens if the final guest count changes and whether vendor meals are included. If alcohol is part of the plan, confirm who supplies it, who serves it, and what the venue requires.

Taste the food you are considering, if the caterer offers a tasting, and ask whether the tasting menu is the same service level and preparation planned for the event. A useful decision compares the same meal, staffing, and timing across proposals rather than comparing a snack-style price to a staffed dinner quote.
